Vendor Application – Selby Avenue JazzFest 2025

Thank you for your interest in becoming a vendor at this year’s Selby Avenue JazzFest. Please review the details below and complete the application to be considered.

    Business Details


    Booth Details and Definitions

    Vendors are responsible for keeping their booth area clean and organized. All booths, including food booths, are 10’ x 10’. Food vendors must provide a valid license/permit, proof of insurance, and a menu listing. Food Trucks, which are self-contained, must fit within a 10’ x 20’ space and also provide a menu listing.

    • Artist Booth: A space where the vendor actively demonstrates their profession or talents (e.g., painting, jewelry-making, sketching).

    • Business Booth: A vendor selling an item or service without demonstrating the creation process.

    • Food Booth: Requires the vendor’s food permit/license number and a menu listing. Food Booths are 10’ x 10’ in size.

    • Food Trucks: Self-contained vehicles that must fit within a 10’ x 20’ space. Food Trucks are required to provide a menu listing.

    • Major Corporations: Must pay a minimum of $600 unless sponsoring the event.

    Terms & Conditions

    By submitting an application, you agree to the following:

    Application & Payment
    Vendors must submit a completed application along with necessary permits. All vendor applications will be reviewed and vetted by the event organizers. Only selected vendors will be notified to proceed with payment. Once selected, vendors will receive a confirmation email with payment instructions. Payment must be completed within 10 business days of receiving approval to secure your spot. Failure to pay on time may result in forfeiture of your space. All payments are non-refundable unless the event is canceled by the organizers.

    Space Assignment & Setup
    Vendor spaces are assigned at the discretion of the event committee. While we will do our best to accommodate preferences, location requests are not guaranteed. Vendors are responsible for their own setup, teardown, and booth maintenance. No early departures are allowed. Vendors must maintain professional behavior throughout the event. Inappropriate conduct may result in removal from the event and exclusion from future events. Vendors MUST provide a pop-up style tent with weights (no stakes), tables, and chairs.

    Grease Disposal Policy
    All vendors are required to contain and properly dispose of any grease-related items and containers on their own premises. Selby Avenue JazzFest (SAJF) does not provide grease container removal. Vendors must ensure that no grease-related waste is discarded on festival grounds, in festival-provided trash bins, or left behind after the event. Failure to comply with this policy may result in fines, removal from the event, and/or disqualification from participating in future festivals.

    Electricity & Equipment
    Electricity is not available. Vendors must plan to operate without it and bring all necessary equipment and materials.

    Insurance & Liability
    Food vendors must provide proof of liability insurance: minimum $1 million general liability and $2 million product liability. Other vendors are not required to provide insurance. Selby Avenue Jazz Fest, Walker West Music Academy, and affiliated parties are not responsible for any loss, damage, theft, or injury. Vendors participate at their own risk and are responsible for securing their property.

    Permits & Compliance
    Food and beverage vendors must comply with all city, county, and state health regulations and obtain the necessary permits. All vendors must follow festival rules and local ordinances.

    Prohibited Items & Conduct
    The sale of alcohol, tobacco, firearms, or illegal substances is prohibited. Vendors may not play loud music, use open flames, or engage in disruptive behavior.

    Marketing & Promotions
    Vendors grant Selby Avenue Jazz Fest permission to use their business name, logo, and photos taken during the event for promotional purposes.

    Waste Disposal & Clean-Up
    Vendors must keep their area clean and dispose of all trash. Failure to do so may result in a cleaning fee or impact future participation.

    Subleasing & Transfer of Space
    Vendors may not sublease or transfer their booth without written approval from the event organizers.

    Cancellation & No-Show Policy
    If you are unable to attend, notify organizers at least 7 days before the event. No-shows or late cancellations will result in forfeiture of payment and may affect eligibility for future events.

    Rain or Shine Event
    The Selby Avenue JazzFest is a rain or shine event. No refunds will be given for weather or acts of God.

    COVID-19 & Public Health Guidelines
    Vendors must comply with any local, state, or federal health mandates in effect at the time of the event. Vendors are responsible for ensuring their staff complies as well.

    Indemnification Clause
    Vendors agree to indemnify and hold harmless Selby Avenue Jazz Fest, Walker West Music Academy, and all affiliated parties from any claims, damages, or losses arising from participation.

    Force Majeure
    Organizers are not liable for event cancellation, delay, or changes due to unforeseen circumstances including weather, natural disasters, emergencies, or government mandates.

    By submitting an application and completing payment, you confirm that you have read, understood, and agreed to the above terms and conditions.
